Getting started
What is Clivio?
It’s a place to put your paperwork so it gets read and filed for you. You drop in an invoice, a contract or a photo of a letter, and Clivio works out what it is. It writes a short summary, picks out the date, the amount and the due date, then suggests a clear title. When you need the document again, you type what you’re looking for, and its deadline is already waiting in your calendar.
How is Clivio different from Google Drive or Dropbox?
A drive stores your files, and Clivio reads them. It knows that a PDF is a lease, sums up its clauses and offers to track its deadlines. So you can search for “insurance this year” instead of trying to remember a file name. If your papers already live in Google Drive or Dropbox, you can import them into Clivio.
Who is Clivio for?
Anyone who has nobody to file their paperwork for them. A freelancer or a small business owner keeps invoices, quotes and contracts in it. A student files course notes and admin papers. At home, people keep household bills, insurance, tax papers and warranties there. One account is for one person.
Which file types can I upload?
PDFs, Word, Excel and PowerPoint files, photos and text files, up to 25 MB each. In detail, Clivio accepts DOCX, DOC, ODT and RTF for documents, XLSX, XLS, ODS and CSV for spreadsheets, PPTX, PPT and ODP for presentations, JPG, PNG, WEBP and HEIC for images, plus TXT, MD, HTML, XML and JSON. Scans and photos are read like everything else. ZIP archives and emails saved as .eml files are not accepted.
Is there a mobile app?
No, there’s nothing to install. Clivio opens in your phone’s browser, and the scanner works from there too. Reminders reach you by email and in the app, because Clivio doesn’t send push notifications.
Documents and AI
What does the AI pick out of my documents?
Quite a lot, as soon as a document arrives. It suggests a title, recognizes the type of document (out of 34), writes a two- or three-sentence summary and transcribes the full text. It adds five to ten tags and records the date, the amount with its currency, the main due date, and the organizations and people mentioned, with their contact details. On an invoice it also reads the invoice number, the amount before tax, the VAT and its rate, the total, the supplier’s SIRET number (a French company ID) and the line items. On a payslip it records the net pay, the period and the employer. When an invoice is in Factur-X format, the data is taken straight from the XML inside it.
Can the AI make mistakes?
Yes, especially with a blurry photo or an unusual layout, and we don’t publish an accuracy rate. You can correct the title, the type, the date and the tags, or run the analysis again. Anything that comes from outside (email, drop page, Google Drive, client portal) first lands in “To sort”, where you accept or reject it. The amount, the due date and the organizations that were picked out can’t be edited by hand. If one of them is wrong, use “Re-analyze”.
Can I ask questions about a document?
Yes. Open it, switch to the “AI chat” tab and ask something like “When is payment due?”. The answer cites its sources, and the passage it relies on is highlighted in the PDF. Each question counts as one AI action. For a calculation across all your documents, such as “how much did I spend with Lumen Hébergement in 2026?”, Clivio does the math on your data and doesn’t use any AI action.
How does search work?
Type what you’re looking for, the way you’d say it to someone. For example “EDF invoices 2025”, “invoices over 1,000 euros” or “contracts this month”. Clivio understands the type of document, an amount (over, under, between two figures), a period (the last 7 or 30 days, this week, this month, this year or a given year) and who sent it. It also searches the full text of your documents, scans included. Searching doesn’t use any AI action, and ⌘K opens it from any page.
Does Clivio translate my documents?
Yes, on every plan. You can translate a document’s text into English, French, German, Spanish or Chinese. Each translation counts as one AI action.
Can I edit PDFs in Clivio? Pro
Yes, with Pro. In the PDF editor you can sign, add your initials, text, a date or a stamp, highlight, black out a passage or leave a comment. The AI can also fill in a form for you, and you can rearrange pages or clean up a scan. Each change creates a version, which you can compare with the previous one or restore.
Import and drop page
How do I get my documents into Clivio?
It depends on where they come from. A file on your computer can be dragged into the window. An invoice you got by email can be forwarded to your Clivio address, and a paper document can be photographed with the phone scanner. Files in Google Drive or Dropbox are imported by picking them. Documents that other people need to send you can come in through your drop page.
How does the drop email address work?
Every account has its own, like camille-k3x9@inbox.clivio.app, and you can customize it with Pro. Forward an invoice or a receipt to it. Attachments are analyzed and then wait for your approval in “To sort”. An email with no attachment becomes a suggested task. To keep unwanted mail out, you can allow or block senders, on any plan.
What is the drop page?
A public page in your name, at dashboard.clivio.app/drop/your-name. Anyone can send you a document there without creating an account, and we only ask for their email address. Files are sent one at a time, as PDF, PNG, JPG, DOCX, XLSX, CSV or TXT, and they land in “To sort”. With Pro, you can add your logo, your colors and a custom address.
How does the mobile scanner work?
Open Clivio in your phone’s browser and point the camera at the document. The edges are detected automatically, and you can adjust the crop if needed. You can capture up to 20 pages and choose a filter (original, enhanced, grayscale or black and white). Everything becomes a single PDF, analyzed like any other document. If you’re on a computer, a QR code opens the import screen on your phone.
Can I import from Google Drive or Dropbox?
Yes. You pick the files to import, and Google Docs, Sheets and Slides are converted along the way. It’s a one-time import with no sync afterward, so a file you later change in Drive stays as it was in Clivio. Imported documents wait for your approval in “To sort”.
Can I connect Gmail or Outlook? Soon
Not yet. Direct connections to Gmail, Outlook, OneDrive and WhatsApp are in the works. Until then, forward your emails to your Clivio address, or set up an automatic forwarding rule in your mailbox.
AI actions
What is an AI action?
It’s the unit that counts the work you hand to the AI. Analyzing a document when it arrives costs one, and so does a question in the chat, a translation or a comparison. The same goes for a rewrite or a Reformat in Write, a task added in one line, or a rule the AI builds for you.
How many AI actions do I get?
50 a month on the Free plan, 500 with Pro. The counter resets on the 1st of every month.
What doesn’t count?
Search, for a start. Searching your library costs nothing, and neither do calculation questions about your data, like a total for one supplier, an average or a list.
What happens when I run out?
Nothing is lost. Your documents keep arriving and are stored, but their analysis waits. You can run it when the counter resets on the 1st of the month, or right away by upgrading to Pro.
Plans and pricing
Is Clivio free?
Yes, and it isn’t a trial. The Free plan has no time limit and doesn’t ask for any payment method. It includes 50 documents in total, 50 AI actions a month, 500 MB of storage, 3 smart folders and 3 automations.
Which plans are available?
There are two, Free and Pro. Pro costs €14.90 a month or €149 a year. It raises the limits to 1,000 documents, 500 AI actions a month and 10 GB, with as many smart folders and automations as you like. It also adds Finance (in beta), Write, the PDF editor, e-signatures and the client portal. VAT is not charged (French VAT exemption, article 293 B of the CGI). There is no Team plan for now.
How does the Pro trial work?
You get seven days to try Pro. We ask for a payment method at the start, but nothing is charged during the trial.
What happens when I reach 50 documents?
Your documents stay where they are, and you can still open and search them. To add more, delete a few or upgrade to Pro. The limit applies to what you keep in total, for the whole life of the account. Only AI actions reset on the 1st of each month.
Do you offer yearly billing?
Yes, €149 a year instead of €178.80 when you pay monthly. That works out to €12.42 a month, so two months are free and you save €29.80.
Can I cancel or pause?
Yes, at any time, from the app. Pro stays active until the end of the period you’ve already paid for. You can also pause your subscription for up to three months. And within 14 days of subscribing, you can withdraw from the app and get a full refund.
Finance beta Pro
What is the Finance module?
It’s the part of Clivio that connects your invoices to your spending. Every invoice or receipt it analyzes becomes an entry to approve, already filled in with the amount, the supplier and the date. You approve them one by one or in bulk, and each transaction stays linked to its document. You’ll also find budgets, recurring transactions, a dashboard and bank statement import in CSV, OFX, QFX or QIF. Finance is in beta and comes with Pro.
What’s the difference between the Personal and Business profiles?
The Personal profile is for household money. The Business profile adds VAT tracking, for activities that charge VAT.
Does the AI choose my expense categories?
No. The AI fills in the amount, the supplier and the date, and each entry arrives with a default category, which you can change.
Does Clivio replace my accounting software?
No. It files your documents and gets the work ready. Once your entries are approved, you export them as CSV or as an FEC file (the French standard format for accounting entries), and your accountant can view them read-only in the Accountant portal, if you invite them. The bookkeeping itself happens in your software or at your accountant’s. XLSX and PDF exports are coming soon.
Does Clivio track expenses that come back every month?
Yes, in two ways. In Finance, you set up a subscription, your rent or a phone plan as a recurring transaction. On the document side, you can mark an invoice as monthly, quarterly or yearly. Clivio matches it when it arrives, and warns you if it’s still missing three days after the expected date.
Write Pro
What is Write?
It’s a text editor with an AI assistant, included in Pro. You start from a template or a blank page, and you can give the AI documents, tasks, notes or contacts to work from. It then helps you improve a passage, fix typos, shorten, expand or simplify, in the tone you pick from six (formal, warm, confident, persuasive, empathetic or technical). It also translates your texts into seven languages.
Which templates are available?
There are 23. For projects and communication you’ll find meeting notes, a project brief and a project proposal, a strategic plan, a brainstorm, a professional email, a blog post, a newsletter, a press release, a social media campaign brief, a sales proposal and a customer case study. For running a business there’s an invoice cover letter, a payment reminder, a job description, an offer letter, a performance review, a non-disclosure agreement, a legal memo, a formal demand letter and a cancellation letter, plus a daily journal and reading notes. You can also save your own templates.
What does Reformat do?
It takes a text you’ve written and turns it into another format. Meeting notes can become an email, a LinkedIn post, an internal memo, a summary, a slide outline, a blog post, a newsletter, a video script or a thread. Each version counts as one AI action.
Can I publish a Write page?
Yes, through a public link. You can see how many times it has been viewed, and readers can comment and react. You choose when the link expires (never, or after 7, 30 or 90 days), and you can protect it with a password or give it a custom address.
Smart folders and automations
What are smart folders?
Folders that fill themselves based on criteria you set. You create, say, “Invoices over €1,000” or “Due in the next 30 days”, and every document that matches shows up there as soon as it arrives. You get three on the Free plan, and as many as you like with Pro.
What rules can I set?
You can filter on sixteen fields, including type, title, content, amount, date, due date, status, format, source, currency, tag, organization and person. Conditions combine with AND or OR, and dates can be relative (the last 30 days, overdue, the next 7 or 30 days). If you prefer, describe the folder in a sentence and the AI writes the rule.
What are automations?
Rules that follow a “when, if, then” pattern. When a document arrives and its amount is over €500, a rule can add the tag “High amount”. Another can send you an email as a due date gets close. You get three rules on the Free plan, with no limit on Pro.
Which triggers and actions are available?
A rule can start when a document is added or changed, when its status changes, when a tag is added, when it’s added to a folder, when a due date is near, when a task is done or overdue, or when you run it by hand. Pro adds document deleted or restored, tag removed, scheduled runs, incoming webhooks and email received. As for actions, a rule can add or remove tags, change the status, archive, set or clear a due date, comment, send an email or create a task. Pro adds outgoing webhooks, custom fields, AI summaries and AI extraction. Automations don’t send Slack or push notifications, and they don’t move documents around, since smart folders take care of sorting.
Sharing and teams
Can I share a document?
Yes, on every plan. You create a public link that lasts 1 hour, 24 hours, 3 days or 7 days, and Clivio can email it for you. Before sharing, you can hide amounts, IBANs, ID numbers and addresses. This link isn’t password protected.
Can I share a whole folder? Pro
Yes, with Pro. You can protect the folder with a password if you want, choose an expiry from 90 days to never, and decide whether people can download the files.
Can I get a document signed? Pro
Yes, with Pro. The signer gets a link, confirms with a six-digit code sent by email, then signs without creating an account. A proof page keeps the document’s SHA-256 fingerprint and a log of each step. This is a simple electronic signature as defined by the EU eIDAS regulation.
Can I collect documents from my clients? Pro
Yes, with the client portal. You send your client a private link, valid for 30 days, with the list of documents you need. You start from one of five templates (trades and construction, accounting, legal, property rental, HR) or from your own list, up to 30 items. Your client uploads files without creating an account. With each upload, Clivio checks that it’s the right kind of document, that it’s still valid, that the name matches, that it isn’t too old and that it’s readable. Depending on your settings, the document is approved, flagged for review or rejected, then filed in your account, and you get notified.
Can my accountant see my documents?
Yes, if you use Finance (in beta, with Pro). You invite them to the Accountant portal, where they can view your entries and their documents, read-only.
Is there a plan for teams?
Not yet. Today, one account is for one person. We’re looking into a plan for small teams and keeping a waitlist. To join it, email contact@clivio.app with “team waitlist” in the subject line, and tell us what you’d need.
Security and privacy
Is my data safe?
It’s encrypted in transit (TLS) and at rest on Google Cloud. Your files open through temporary links that expire quickly, and you can turn on two-factor authentication, with an authenticator app or by SMS. Clivio runs on Google Cloud (Firebase), and part of the processing happens in the United States (server functions, Gemini API), under standard contractual clauses. The Trust page has the details.
Are my documents used to train an AI?
Not by Clivio. We don’t sell your data, and we don’t use it to train any model of our own. For the analysis, your documents’ content goes through the Google Gemini API, one of the subprocessors listed in our privacy policy.
Who can read my documents?
You, first of all. Then the people you share a link or a folder with, and your accountant if you invite them to the Accountant portal. For the analysis, the content also goes through the Google Gemini API.
Account and data
Can I take my data with me?
Yes, whenever you want. In Settings › My data, you download a ZIP archive of all your files and data, up to three times a day. Finance transactions can also be exported as CSV or FEC.
How do I delete my account?
From the app, without having to write to us. The deletion becomes final after 30 days, and until then you can cancel it.
What happens if I go back from Pro to Free with more than 50 documents?
Nothing disappears right away. You keep full access for 7 days. After that, as long as you have more than 50 documents, the account is read-only, so you can still view, export and delete, but you can’t add anything. After 90 days, and several warning emails, the oldest documents beyond the first 50 are deleted. Documents linked to a transaction and archived documents are kept. As soon as you’re back to 50 documents or fewer, everything works as before.
How do I protect my account?
Turn on two-factor authentication, with an authenticator app (TOTP) or by SMS. A stolen password is then no longer enough to get into your account.
E-invoicing in France
Does Clivio handle French e-invoices?
Yes, on the receiving side. Clivio reads Factur-X, ZUGFeRD and UBL invoices straight from the XML inside them, so the amounts, the VAT and the SIRET number are taken as they are, and the invoice gets a “Factur-X certified data” badge. With Pro, the “2026 Reform” panel in Finance (beta) shows, supplier by supplier, how many of your invoices already arrive as Factur-X. Clivio is not an accredited e-invoicing platform (PA), so it doesn’t issue e-invoices or send anything to the tax authority. It files what your platform and your other channels send you. To open a single e-invoice without an account, try our free tools.
Send it to us. If it comes up often, we’ll add it to this page.
