How Clivio works, in six steps.

Let’s follow one invoice, from the email that brings it in all the way to your calendar. At each step you see what Clivio does, and what stays in your hands.

Free up to 50 documents, no credit card.

Fictional example.

Invoices come in from everywhere. Each one is read, its amounts are picked out, and it goes into the right folder.

Still from the film: Sorting

Bring your documents in the way they arrive

You don’t have to sort anything first. Forward an invoice you got by email, take a photo of a letter, and let your clients upload their own documents. Clivio takes files as they are, in the formats you already use.

Drag and drop, or the upload button

One file or several at once. They go straight into your library.

Your email drop address

camille-k3x9@inbox.clivio.app · attachments are analyzed, and an email with no attachment becomes a suggested task. You decide which senders are allowed or blocked.

Customizable on Pro
Your phone’s scanner

It opens in the browser, so there’s no app to install. Edges are detected, you adjust the crop, and up to 20 pages go into a single PDF. On a computer, a QR code opens the upload on your phone.

Your public drop page

dashboard.clivio.app/drop/camille · people send you a file without creating an account, and only leave their email address.

Logo and colors on Pro
Google Drive and Dropbox

You pick the files to import, and Google Docs, Sheets and Slides are converted. It’s a manual import, not a sync.

The client portal

You send a list of the documents you need, and your client uploads them without an account. Clivio checks them, then files them on your side.

Pro
Gmail, Outlook, OneDrive, WhatsApp

Direct connections are in the works. In the meantime, forwarding to your Clivio address works from any email provider.

Clivio reads each document when it arrives

The AI (Google Gemini) reads the document, even when it’s a scan or a photo. Clivio suggests a clear title, recognizes which of 34 types it is and sums it up in two or three sentences. It also transcribes the full text so that search can find it. Each analysis counts as one AI action.

For every document1 AI action

  • ·Suggested title and type
  • ·Summary in 2 or 3 sentences
  • ·Full text, for search
  • ·5 to 10 tags
  • 2Document date
  • 4Amount and currency
  • 5One main due date
  • 1Organizations and people
  • ·Emails, phone numbers, addresses

Extra fields on an invoice

  • 2Invoice number
  • 4Subtotal, VAT (amount and rate), total
  • 1SIRET (French company number)
  • 3Line items

A Factur-X invoice is read straight from its XML and marked “Factur-X certified data”. On a pay slip, Clivio picks out the net pay, the pay period and the employer.

Out of AI actions this month? The document is kept anyway, and you can run its analysis later. The counter resets on the 1st of each month.

Anything from outside waits for your OK.

A document that someone else sent you doesn’t slip into your folders behind your back. It goes to “To sort”, where you accept or reject it. Whatever you upload yourself goes straight into the library.

What you can correct

TitleTypeDateTagsNotesRe-analyze

For file names, you can keep the title Clivio suggests, the original name, or a naming convention of your own.

What you can’t edit by hand

AmountDue dateOrganizations

The amount, the due date and the organizations come from reading the document. If one of them is wrong, run the analysis again.

Each document is filed by your rules

You describe once what goes where, and Clivio takes care of it for every new document after that. Smart folders gather whatever matches your criteria, and automations act when something comes in.

Smart folders

Due within 30 days5 documents
Due dateis withinthe next 30 days

Statusis notArchived

You pick from sixteen criteria, such as type, amount or organization, combine them with AND or OR, and use relative dates like “overdue”. You can also describe the folder to the AI in your own words. The Free plan allows three, and Pro has no limit.

WHEN

A rule says when to act, under what condition and what to do: tag, archive, set a due date, create a task or send an email, for example. Three rules on Free, as many as you want on Pro.

Find a paper without knowing what it’s called

Type your search the way you’d say it, for example “invoices over 1,000 this year”. Open a document to ask it a question, and the answer quotes the passage it comes from. For a total or an average, Clivio does the math on your data.

The invoice moves on to your calendar and Finance

What Clivio picked out carries over into the other tools. The invoice’s due date goes on the calendar, and the invoice itself can become an expense to approve in Finance.

What counts as an AI action

An AI action is one job handed to the AI. You get 50 a month on the Free plan and 500 on Pro, and the counter resets on the 1st. Searching and calculating are free.

Before you start

Something else on your mind? contact@clivio.app

Do I need to sort my documents before uploading them?

No. Drop them in as they are, in any order, with their original file names. Clivio recognizes the type of each document, suggests a title and files it according to the smart folders you’ve set up.

What if the AI gets something wrong?

It happens, especially with a blurry photo. You can correct the title, type, date or tags, or run the analysis again. And anything that comes from outside waits for your OK in “To sort” anyway.

Are my documents used to train an AI?

Clivio doesn’t sell your data or use it to train a model of its own. The analysis goes through the Google Gemini API, partly in the United States, under standard contractual clauses. You’ll find the details on the Trust page.

What happens beyond 50 documents?

You can still open and search the ones you have. To add more, delete a few or switch to Pro, which holds 1,000. The limit is on the total number of documents you keep.

Can I take my data with me?

Yes. In the settings, you can download a ZIP archive of all your files and data. If you delete your account from the app, the deletion becomes final after 30 days, and you can cancel it until then.
