How to name invoice files so you can find them later

The short answer

Start the name with the date, written year-month-day, then add the vendor and the amount, as in 2026-10-01_EDF_84.20.pdf. Your files will then sort by date in any folder, and a search for “EDF” brings up every invoice from that vendor.

Your accountant asks for the August electricity bill from EDF. You open the folder and find scan_0012.pdf, invoice.pdf and EDF invoice October (2).pdf, so you end up opening them one by one. A well-built file name spares you that, as long as you decide once what goes in it and in what order.

Put the date first, as 2026-10-01

Your computer sorts file names one character at a time, starting from the left. When a name starts with the year, then the month, then the day, alphabetical order is also date order. It works the same way in Windows File Explorer, in the Finder on a Mac and in online drives. This year-month-day order is also the one set by ISO 8601, the international standard for writing dates.

The American 10-01-2026 sorts by month first, so your October invoices from 2025 and 2026 end up side by side. The European 01-10-2026, common on French invoices, sorts by day, which is worse. Write the month and the day with two digits, adding a zero when needed, because some programs compare the characters one by one and would put 2026-9-30 after 2026-10-01.

Write the vendor’s name the same way every time

When you search a folder for “EDF”, you get the files whose names contain those three letters. The search will never connect them to Electricite-de-France, and a list that mixes EDF, Edf and the full name quickly gets tiring to read. Pick one spelling per vendor, the shortest one you’ll recognize, and keep it from one year to the next.

French company names often carry accents and ampersands. If your files travel by email, to your accountant or through a shared drive, drop the accents and spaces and turn punctuation into hyphens. “Menuiserie Dubois & Fils” becomes Menuiserie-Dubois-Fils, and “Électro Morin” becomes Electro-Morin.

Use the total with tax

Use the total including VAT, which is the amount you actually paid. It’s the figure on your bank statement, and it’s often the one you have in mind when a charge on that statement doesn’t ring a bell and you go looking for the invoice behind it.

Put a period before the cents and leave out the thousands separator and the currency sign, which gives 84.20 or 1248.00. Amounts are written this way in the XML of an e-invoice, and it’s the format our free tool uses.

Separators and characters to avoid

Two signs are enough. An underscore separates the blocks, and a hyphen joins the words inside a block. In 2026-10-01_Menuiserie-Dubois-Fils_3480.00.pdf, you can see right away where the vendor ends and the amount begins.

Leave out spaces. In a shared link, each space turns into %20, so EDF invoice.pdf shows up as EDF%20invoice.pdf.

Windows also refuses nine characters in a file name, according to Microsoft’s documentation. Avoid them on a Mac too, so your files can move from one computer to another without errors.

A naming template for each kind of document

Keep the date first on everything, then adapt the rest to what you’ll be searching for later. The table gives a template for the most common documents.

DocumentExample nameWhat the name tells you
Invoice from a vendor2026-10-01_EDF_84.20.pdfThe invoice date, the vendor, the total with tax
Invoice you send2026-10-01_F2026-041_Atelier-Nord.pdfThe date, your invoice number, then the client
Payslip2026-09_Payslip_Employer.pdfThe year and month, then the employer
Bank statement2026-09_Statement_Bank.pdfThe year and month, then the bank
Contract or lease2026-03-15_Lease_Apartment.pdfThe signing date, the kind of contract, what it covers
Insurance2026-01-01_Home-insurance_Insurer.pdfThe start date, the policy, the insurer

On the invoices you send, the number goes right after the date. Your numbers run in sequence, so a gap in the series stands out at once. A payslip or a bank statement covers a whole month, and the year and month are enough to place it.

Renaming the invoices you already have

The easiest habit is to name each invoice when you save it. For the ones already sitting in a folder, the method depends on their format.

E-invoices, with the free tool

If your invoices are Factur-X, UBL or CII files, the free tool Rename invoices in bulk reads the data in their XML and suggests a name for each one, in the form YYYY-MM-DD_Vendor_Total. It all happens in your browser, and nothing is uploaded. You fix any name you don’t like, then download the files one at a time or together in a ZIP.

An ordinary PDF or a scan has no XML inside, so the tool has nothing to read and the file keeps its name.

PDFs, scans and everything else

For those, you can rename them by hand with the table above as a guide. You can also add them to Clivio, where the AI reads each document when it arrives, scans and photos included, and gives it a title.

You choose how that title is built in Settings › Documents & AI › Document naming. There are three modes. “AI title” is the default, “File name” keeps the original name, and “Template” lets you put the title together yourself.

In Template mode, you insert fields such as the date, the vendor or the amount, along with a few you might not expect, like the channel the document came through. Quick templates such as “Date · Vendor · Type” give you a starting point. The date can take one of four formats, from 2026-08-14 down to 2026 on its own. With “Rules per type”, one kind of document can follow its own template, your payslips for example.

The template also takes underscores. With {date}_{vendor}_{amount}, the EDF bill becomes 2026-10-01_EDF_84.20EUR, with the currency code attached to the amount, and a round amount is written without decimals, as in 120EUR. A vendor name keeps its spaces if it has any.

“Apply to existing documents” renames what’s already in Clivio without running the analysis again. Titles you edited by hand stay as they are, and if you don’t like the result, you can undo the last rename.

That title is the document’s name inside Clivio. When you download several documents as a ZIP, the files carry that title. Files still on your computer keep the names they had.

One folder per year is often enough

Since the name already holds the date and the vendor, your folder tree can stay short. In a folder for the year, sorted by name, invoices appear in date order, and to see one vendor’s invoices you type its name in the folder’s search box. If you keep business invoices and household papers together, make two folders per year, one for each.

Common questions

Should the amount in the name include VAT?

Yes, in most cases. The total with VAT is what you paid and what shows on your bank statement, so it’s the number you’ll search for. Our free tool uses it too. The amount before tax and the VAT are still on the invoice itself.

Can I use accents and spaces in a file name?

Yes, your computer accepts them. It’s better to avoid them when the file will travel by email or through a shared drive. A space becomes %20 in a link, so use a hyphen instead, and write Electro instead of Électro.

Does a file name have any legal value?

No. What counts is the content of the invoice. Renaming a file changes neither that content nor the XML of a Factur-X invoice, and a renamed invoice is still the same invoice.

Is it wrong to write the date as 10-14-2026?

No, nothing forbids it. It just won’t sort by date. In a list sorted by name, 01-15-2026 comes before 10-14-2025, even though the October 2025 invoice is older, because the computer compares the month first.

Should I rename invoices I get through an accredited platform?

Not on the platform itself. The name matters for the copy you download and keep on your computer or in Clivio. Those invoices are Factur-X, UBL or CII files, so the free tool can suggest a name from their XML without touching their content.
