How data gets into a system. In Clivio, a document can come in by drag and drop, by email to your drop address, through the phone scanner, through your public drop page, or from Google Drive and Dropbox. A direct connection to Gmail and Outlook is in the works.
The ways in
Each channel suits a kind of document. Files on your computer are dragged in or picked with the import button. An invoice that arrives by email is forwarded to your drop address, something like firstname-xxxx@inbox.clivio.app. A paper letter is photographed with the phone scanner, up to 20 pages in one PDF, right from your phone’s browser. Clients and colleagues send you files through your public drop page, without an account. And files in Google Drive or Dropbox are imported by picking them, once, with no sync afterward.
Every channel is on the Free plan. Pro adds a custom drop address, and your logo and colors on the drop page.
What waits for your approval
What you add yourself goes straight into your library. Anything from outside, whether by email, through the drop page, from Google Drive or through the client portal, first lands in “To sort”. There you see where it came from and who sent it, then accept or reject it. An email with no attachment becomes a suggested task, and lists of allowed and blocked senders keep unwanted mail out.
Formats and limits
Each file can be up to 25 MB, as a PDF, a Word, Excel or PowerPoint file, an image or a text file. ZIP archives and emails saved as .eml files aren’t accepted, so forward the email instead. To stop forwarding by hand, set up a rule in Gmail or Outlook that sends a supplier’s emails to your Clivio address. Direct connections to Gmail, Outlook, OneDrive and WhatsApp are announced as coming soon. The import page lists every accepted file type.
Frequently asked questions
Do people need an account to send me a document through my drop page?
No. The sender enters their email, picks a file and sends it. The document then waits for you in “To sort”.
Do my Google Drive files stay in sync with Clivio?
No. It’s a one-time import of the files you pick, and later changes in Drive aren’t carried over.
